Scanning Requests for Teaching

Introduction

The scan request service can be used to provide online access to articles, books chapters and extracts you would like to use in teaching.

Items are made available through the Copyright Licensing Agency's Digital Content Store (DCS) and are added to your module resource list for students to access.

What do I need to request scans for?

You need to request a scan for any copyright material that you would like to make available for your students to use as part of the course, unless one of the following exceptions applies:

You do not need to request a scan in the following circumstances;

  • The item you would like to use is available online and the only way you will provide access to students is through a link to the item in its original online location
  • The item you would like to use has a creative commons CC-BY or CC-BY-NC licence, and you clearly acknowledge the original
  • You have written permission from the copyright owner of the resource you are using. (This is not necessarily the same as the creator)

If you have obtained written permission, keep it safe in case of any queries, and check the limits of the permission carefully. For example, if permission is provided for an individual academic member of staff to use the resource in this way, it does not necessarily apply to other staff teaching similar modules.

What can I request?

You can usually request scans of

  • Extracts totaling up to 20% of a print book held in any campus library (or 2 full chapters if this is larger)
  • Extracts totaling up to 20% of an e-book that the library owns or subscribes to (or 2 full chapters if this is larger)
  • One article from an issue of a journal - whether online or in print
  • Extracts from online publications

Some publishers are excluded from the licence, and in some cases there may be variations in how much can be made available. We will check the copyright permissions available for the item when you make your request, and will contact you if we are unable to fully meet your request.

Making a Request

If you would like to request one item please complete the single item request form.

To request multiple items for the same module, please complete the multiple item requests form.

You can also make requests directly from your module resource list by adding a 'student note' with details of the part you would like them to use and setting the 'Scan Request' tag on the item.

Information we need about your module

The CLA licence allows us to provide access to scans at module level. We will need the details below to be able to complete your request.

  • Your Name
  • Staff Number
  • Department / School
  • Module Title
  • Module Code
  • Number of students (please include the exact number with your request where known, or provide a realistic estimate)

If you need to use the same resource in more than one module, please provide details of all modules that will need to use it, as a different link will be needed for each.

How will my request be dealt with?

Library staff will review your request and check whether copyright permissions are in place to allow the scan to be made.

If so, a link will be added to your module resource list and you will be informed when this is available.

If your request cannot be fully completed, library staff will let you know about any alternative options.
